Stop the Chaos: How Strategic Calendar Management Can Accelerate Your Career

Do you feel like your day is overloaded with meetings and tasks, and you’re on a never-ending hamster wheel of activity, but somehow, you’re not getting ahead? Or maybe the chaos of your schedule leaves you feeling overwhelmed, and you never have time to focus on the things that really matter—like preparing for an important meeting or thinking about your next career move.

Here’s a secret: how you manage your calendar can either help you grow or hold you back.

Why Calendar Management is Important for Your Career

Think of your calendar like a puzzle. You need to fit in all the pieces—work, meetings, thinking time, and even breaks—in a way that makes sense. But if you’re just filling your day with random tasks and meetings without a plan, you might be working hard but not making progress. That’s why strategic calendar management is so powerful.

When you manage your calendar well, you can:

  • Be more prepared: By blocking out time to get ready for meetings, you’ll always have great answers and ideas.
  • Demonstrate your leadership skills: The way you manage your time shows others how organized and professional you are.
  • Feel less stressed: When your calendar is under control, you’ll feel more confident and less overwhelmed.
  • Build confidence: When you manage your time well, you’re unstoppable—your mindset is strong, you’re focused on building your brand, and you’re leading your team in all the right ways.

How to Start Managing Your Calendar Like a Pro

Here are some simple steps to take control of your calendar and set yourself up for success:

  • Start with My Consolidate, Delegate, and Eliminate Method: Review your calendar and look for meetings that you can consolidate, delegate, or eliminate. Often, we just accept meetings without thinking and overload our calendars. If you don’t really need to be in a meeting, it’s okay to say no or send someone else in your place. Your time is valuable, and you should spend it on things that will help you grow and stand out.
  • Time Blocking: Once you’ve completed the Consolidate, Delegate, Eliminate method, grab that freed-up time and block it. Instead of letting meetings fill up your day, block out time for important things. For example, schedule time for “meet
  • ing prep,” “thinking time,” or “big projects.” This way, you won’t be scrambling or multitasking. You’ll be showing up to meetings prepared and confident!
  • Protect Your Breaks and Other Self Care Appointments: Just because someone sends you a meeting invite doesn’t mean you have to say yes! If you’ve blocked out lunch or a break, protect that time. Taking care of yourself is just as important as work—without it, you’ll burn out. Now, I know—I was a busy corporate executive not that long ago. This isn’t always possible; there are fire drills and things that get in the way. But these should be the exception, not the rule.

One of my favorite personal quotes is a great reminder—feel free to write it down:

“Stop letting your calendar control you. You are a leader, and that means you are allowed to prioritize and say ‘no’ as needed.


My Story: Calendar Management Changed My Career

I used to feel just like you—busy but stuck. My corporate days were filled with meetings, and I was always preparing for the next one while sitting in the current one (this is not a good look, FYI). It wasn’t until I started blocking time on my calendar for things like meeting prep, thinking time, career focus, and self-care that everything changed. I became more organized, felt more confident, and was ready for big opportunities. And guess what? It was a big part of what led to my four promotions in ten years!

Real-Life Example: Michele’s Lunch Dilemma

One of my clients, Michele, worked at a fast-paced start-up where her calendar was constantly booked. She didn’t even have time for lunch because people would overbook it. When I asked her what she did, she said, “I just skip lunch, and I’m exhausted by the end of the day.” That’s a big no-no! We made a simple strategy shift and set her lunch break to “private” on her calendar. People were overbooking it because they could see it was "just lunch." Now, she’s getting her breaks and feels way more energized to power through the day.
